You’ll be joining our Administrative team — the people who keep Mellow running smoothly behind the scenes. The team includes a Country Manager, Migration Specialist, Corporate Administrator, and Office Administrator based in our Cyprus HQ, plus a Country Manager overseeing operations in Hong Kong. Now that the team is growing, we’re looking for an Office Administrator who’s ready to bring structure, care, and consistency to how we work.

Your Role in Action

  • Maintain and organize paper and electronic document flow - ensure accuracy, structure, and easy access to all files;
  • Handle document legalization and coordinate signatures with company directors;
  • Support preparation of documentation for compliance reviews and audits;
  • Prepare and reconcile petty cash and expense reports;
  • Process invoices - verify details, submit for payment, and track payment status;
  • Monitor office-related expenses and assist in basic budget reporting;
  • Manage document delivery and courier services, keeping colleagues updated on progress;
  • Maintain necessary office supplies and ensure smooth day-to-day operations;
  • Provide administrative support to the team and contribute to process improvements.

What Makes You a Great Fit

  • Fluent English (both written and spoken);
  • Strong knowledge of Excel and other standard office tools;
  • Excellent organizational skills and attention to detail;
  • Experience in administrative or document management roles;
  • Strong communication skills and reliability in handling sensitive information.

Nice to Have

  • Russian language proficiency;
  • Knowledge of document flow and corporate recordkeeping processes;
  • Proactive attitude and willingness to improve workflows and operational efficiency.
